Why no-shows keep getting more common
Most clients do not mean any harm, they simply forget, or something else gets tangled into their day. We book impulsively these days, often weeks ahead, and neither a paper diary nor an Instagram message will remind anyone. You know the result: a slot you can no longer fill, and lost income. So the solution is not about telling clients off, it is about a system that keeps watch for you.
Step 1: Automatic reminders (biggest effect, zero conflict)
The day before the visit, the client gets an email or a text: “See you tomorrow at 14:00.” That is all, and it is exactly what catches the biggest share of forgotten appointments. Every decent booking system can send reminders today (Reservio, Reservanto and others), and in the basic plans you get them for free or for a few korunas. No confrontation, no explaining, just fewer empty slots.
Step 2: Online booking with one-click cancellation
It sounds odd, but it holds true: the easier it is to cancel an appointment, the sooner you find out about it. When a client has to call, she is often embarrassed and would rather not turn up at all. When she can move the appointment with a click in the reminder, she does it straight away, and you have time to offer the slot to another client. Step 3: Deposits last of all, and tactfully
A deposit works, but it is the heaviest tool you have, so introduce it only once reminders and online booking are not enough. How to do it without offending your clients:
Start where it hurts the most. New clients and long treatments (colouring, extensions, packages), that is where a lost slot costs the most. Regulars who have been coming for years do not need a deposit.
Say it in advance and clearly. How much, until when the appointment can be cancelled for free and what happens after that. No surprises on the spot: the rules belong on your website and in the booking confirmation.
Frame it fairly. The deposit is deducted from the price of the service. It is not a penalty, it is a reservation of your time.
A deposit is not rude. It is an agreement that both sides value each other’s time.
